Connecting to a Payroll Provider (HRIS)

Overview
You can establish a direct data connection to various payroll providers to pull in payroll data into xP&A.
The following applies:
- All integrations with payroll providers are established using Merge, a third-party platform that enables (API) integrations with different systems.
- In order to set up the integration, you must fulfil individual permission requirements and follow authentication procedures to link to your HRIS account with xP&A.
- Independent of the system, there is a set of default fields (variables and dimensions) that are pulled in. Integrating these default field does not require any technical support but can be set up by the customer.
All other fields that you would like to import from your HRIS system need to be configured separately. Please reach out to your contact person at Lucanet for further assistance and ensure to have all necessary permissions to access your payroll provider for this individual setup process.
Please note that we cannot gurantee to be able to pull in all required fields. This will be evaluated during the individual set up process together with our technical experts.

Note on Additional Fields
All other than the default fields that you would like to import from your HRIS system need to be configured separately. Please contact our Support for further assistance and ensure to have all necessary permissions to access your payroll provider.
Please note that we cannot gurantee to pull in all required fields. This will be evaluated during the individually set up process together with our Support.
Prerequisites for the Setup
Sufficient Permissions
For setting up the connection, you need to be an Admin of your HRIS/payroll system in order to enable xP&A to get the standard information like Salary, Employee Names etc.
If you are not an Admin, you can either:
- Enter an Admins' credentials in the data connection creation flow in xP&A
- If your admin has an xP&A account, they can create the data source themselves from scratch, with their own credentials
Necessary Authentications
You will also need to ensure that you set up all necessary authentications that are requested in the connection flow.
These authentications differ slightly by HRIS - open this link to see a full explanation (provided by our API provider, Merge).
Connecting to a Payroll Provider
To connect to a payroll provider:
Choose one of the following options:
- Open the Data workspace from the overview on the start page and click + New.
- Open the model into which you would like to integrate the data, click the + sign next to Data in the overview, and choose New data source.
In the Data sources dialog, open the Payroll provider tab and choose the system from which you want to integrate data.

Choose if you want to:
- Connect via xP&A's Headcount Plan wizard and get a Headcount model directly connected to your payroll provider.
- Create the data source manually and link the data to your models by yourself.
Configure the following steps of the New Data Source dialog. (As an example, the steps for the source system HiBob are shown):
- Confirm that you are an admin or copy the displayed URL to share it with your admin and direct them to the next step.

- Check the standard fields that can be pulled in with the integration and click Next to agree to the End User Terms of our third-party provider Merge.

- Enter the authentication details to connect to the source system and click Next.

Configure all following steps to complete the setup of the connection.
The steps that are required for setting up the connection differ depending on the chosen source system. An instruction for each step is given directly in the set-up dialog.
Connecting to a Payroll Provider Using the Headcount Plan Wizard
We recommend connecting via xP&A's Headcount plan wizard as this way you will get a headcount model directly connected to your payroll provider.
To do so, create a new model and choose the Headcount plan wizard in the Create model dialog.
