Connecting to an HRIS/Payroll System in Lucanet xP&A

Overview

You can establish a direct data connection to various HRIS/Payroll systems to pull in payroll data into Lucanet xP&A (Extended Planning & Analysis).

The following applies:

  • All integrations with HRIS/Payroll systems are established using Merge, a third-party platform that enables (API) integrations with different systems.
  • In order to set up the integration, you must fulfil individual permission requirements and follow authentication procedures to link to your HRIS account with xP&A.
  • Independent of the system, there is a set of default fields, i.e. variables and dimensions, that are pulled in. Integrating these default fields does not require any technical support but can be set up by the customer. All other fields that you would like to import from your HRIS/Payroll system need to be configured separately. For more information, see Fields Imported From HRIS/Payroll Systems.

Prerequisites for the Setup in xP&A

Sufficient Permissions

For setting up the connection, you need to be an Admin of your HRIS/payroll system in order to enable xP&A to get the standard information like Salary, Employee Names etc.

If you are not an admin, you can either:

  • Enter an admins' credentials in the data connection creation flow in xP&A.
  • If your admin has an xP&A account, they can create the data source themselves from scratch, with their own credentials.

Necessary Authentications

You will also need to ensure that you set up all necessary authentications that are requested in the connection flow.

Connecting to an HRIS/Payroll System in xP&A

To connect to a payroll provider in xP&A:

Choose one of the following options:

  • Open the Data workspace from the overview on the start page and click + New.

  • Open the model into which you would like to integrate the data, click the + sign next to Data in the overview, and choose New data source.

In the Data sources dialog, open the Payroll tab and choose the system from which you want to integrate data.

Choose if you want to:

  • Connect via xP&A's Headcount Plan wizard and get a Headcount model directly connected to your payroll provider.
  • Create the data source manually and link the data to your models by yourself.

Configure the following steps of the New Data Source dialog. (As an example, the steps for the source system HiBob are displayed):

  • Confirm that you are an admin or copy the displayed URL to share it with your admin and direct them to the next step.

  • Check the standard fields that can be pulled in with the integration and click Next to agree to the End User Terms of our third-party provider Merge.

Fields Imported From HRIS/Payroll Systems in xP&A

When you connect an HRIS/Payroll system to Lucanet xP&A, the data source contains the default fields that Lucanet xP&A imports from every HRIS/Payroll system. You can have additional fields configured separately. HiBob data sources also contain FTE variables.

The following default fields are pulled into Lucanet xP&A from each HRIS/Payroll system that is integrated via Merge:

Additional Fields Imported From HRIS/Payroll Systems in xP&A

If you want to import further fields from your HRIS/Payroll system into Lucanet xP&A in addition to the default fields, you need to have these fields configured separately. To do so, contact our Support and make sure that you have all necessary permissions to access your HRIS/Payroll system.

We cannot guarantee that Lucanet xP&A can import all required fields. During the individual setup process, our Support checks together with you which fields Lucanet xP&A can import.

FTE Variables for HiBob in Lucanet xP&A

In addition to the default fields, a HiBob data source in Lucanet xP&A contains variables with the FTE (full-time equivalent) percentage of each employee. These variables are only available for HiBob. Lucanet xP&A displays FTE percentages as decimal numbers, for example 1 for 100% and 0.8 for 80%.

The following table describes the FTE variables of a HiBob data source in Lucanet xP&A:

FTEContains the FTE percentage that is currently in effect in HiBob as a constant value. The same value applies to all periods, even if the employee's FTE percentage has changed in the past.
FTE (timeseries)Contains the FTE percentage per month, based on the employment history in HiBob. Each FTE percentage applies from the month in which it takes effect, even if it takes effect in the middle of a month. In months before the employee's start date or after their end date, the value is 0.

If you want to report actuals correctly when an employee's FTE percentage changes over time, use the variable FTE (timeseries) in your Lucanet xP&A model. For example, an employee works full-time until June 2024, 80% from 1 July 2024, and 60% from 8 July 2025. In this case, the variable FTE (timeseries) contains 1 up to June 2024, 0.8 from July 2024 to June 2025, and 0.6 from July 2025. The variable FTE contains 0.6 in all periods.

Existing HiBob data sources in Lucanet xP&A receive the FTE (timeseries) variable with their next refresh.

The following limitations apply to the FTE (timeseries) variable in Lucanet xP&A:

  • Lucanet xP&A does not import FTE changes that are dated in the future in HiBob.
  • If an employee is active in a month for which HiBob contains no FTE percentage yet, the variable FTE (timeseries) remains empty for this month.
  • If Lucanet xP&A cannot read the employment history from HiBob during a refresh, for example because the HiBob service user has no permission for the employment table, the data source does not contain the variable FTE (timeseries) after this refresh. Model variables that are linked to FTE (timeseries) remain empty until the next successful refresh. Lucanet xP&A refreshes all other fields as usual.

Connecting to a Payroll System Using the Headcount Plan Wizard in xP&A

We recommend connecting via xP&A's Headcount plan wizard as this way you will get a headcount model directly connected to your payroll provider.

To do so, create a new model and choose the Headcount plan wizard in the Create model dialog.

Connecting to Payroll Data via a Google Sheet in xP&A

If you cannot connect directly to your payroll provider, you can also connect xP&A to a Google Sheet with your payroll information.

The first tab is a list of your employees and their relevant dimension mappings (to titles/departments etc), start/end dates, and their latest annual salary. Only use the second tab of the template if you want to include month-by-month payroll actuals by employee.
