Sharing Data Connections

Overview

By default, data connections and the data sources created from the connections are private to the user who created them. In order to be used by other users, you can share the connection to a data source with them.

There are two ways to do this:

  • If a data source is used in a model, then anyone with edit or higher access rights to that model can access that data source implicitly. For more information, see Sharing a Model or Folder.
  • The second way is to share the data connection directly with others from the Data workspace. A description of this option can be found in this article.

Sharing a Data Connection from the 'Data' Workspace

To share an existing data connection:

Open the Data workspace.

Navigate to the connection you would like to share.

Click the Share button in the top right corner:

Choose the level of access you want to grant to the people you share the connection with. The following access types are available:

View access

Users with this level of access:

  • Can use the connection to create data sources
  • Cannot see other users' data sources created with the connection

Edit access

Users with this level of access:

  • Can edit and reconnect the connection
  • Can use the connection to create new data sources from it
  • Cannot see other users' data sources created with the connection

Full access

Users with this level of access:

  • Can access all data sources created with the connection
  • Can edit, reconnect and/or delete the connection
  • Can use the connection to create new data sources from it
  • Can share the connection with other users

The Full access option is useful for sharing connections like payroll and accounting systems (where you usually want the users to see all data sources associated with the connection), whereas the more restrictive Edit access or View access options might be more useful for data warehouses where you want to allow others to create queries or data sources, but not see all of your queries or data sources.

Viewing Shared Data Sources

You can display all connections and data sources that have been shared with you in the Data workspace on the Shared tab.

This tab also shows the data sources that are used in models that have been shared with you.
