Exporting a Form to Excel

You can export a form with all its sections, tables, and collected values to an Excel workbook, e.g. to review or archive the data outside Data Collection. The export contains the data as displayed in the form, including drill down rows and the values of form elements that are not tables.

Before exporting a form:

The form must have status

In Progress

Submitted

, or

Approved

You must be assigned as a

Collector

for the reporting entity, or you must be an

Administrator

No data import may be running for the form. While an import is running, the export is not available.

To export a form to Excel:

Navigate to Data Collection | Data collection.

Open the form you want to export.

Click More actions | Export to Excel in the top right. Data Collection generates the workbook.

Your browser downloads the file. The file name consists of the form template name, the reporting entity name, and the period, e.g. Balance sheet_DE GmbH (EUR)_12.2025.xlsx.

The workbook has the following structure:

Content	Export
Sheets	The workbook contains one sheet per table, named after the section and the table. If a section contains no table, the workbook contains one sheet named after the section. This sheet lists the other form elements of the section, e.g. numeric or text elements.
Rows	Each sheet lists all rows of the table with the labels displayed in Data Collection, including superordinate rows and total rows. The export lists drill down rows at all levels beneath their superordinate row.
Columns	Each sheet contains all columns of the table with the labels displayed in Data Collection, including formula columns and read-only columns. Formula columns contain the calculated values, not Excel formulas.
Empty cells	Empty cells in the form remain empty in the workbook.
Form elements that are not tables	The export lists these elements, e.g. numeric, date, selection, and text elements, with their label and value on the sheet of their section.
