# Configuring Period Locks

## Overview

**Period locks** are used to lock and unlock all postings in Lucanet.

All data imports, postings, data transfers from MS Excel, and entries in exchange rate tables must be permitted for the combination of **data level**, **adjustment level**, **time** and **consolidation unit**.

There are two types of period locks:

- In **period locks for postings**, the periods for each data level, each reporting entity and each consolidation area are defined for the periods in which postings can be made.
- The periods in which exchange rates can be created are defined for a combination of the data level and time dimensions in **Period locks for exchange rates**.

If the status, postings, or exchange rates are edited, these **changes are logged** and displayed under the period locks.

## Creating Period Locks

To create a period lock:

In the **Import and Journals** folder, open the **Period locks** workspace.

In the drop-down list of the tree view, choose the data level for which you want to create a period lock.

Right-click a folder in the tree view and select **Create | Period lock - postings** or **Create | Period lock - exchange rates**:

The **Create Period Lock** dialog is displayed.

Enter a **name** for the period lock and **save** your entries.

Configure the period lock (see following section).

## Configuring Period Locks

You can configure period locks as follows:

### Period lock for Postings

You can define the **dimension** to which the period lock is to apply and in which **periods** postings, data imports, and data transfers from MS Excel are allowed to be performed and changed in the detail view of a **period lock for postings**.

Proceed as follows:

In the detail view of the desired period lock, click **Edit**.

If necessary, configure the general options in the top area of the detail view (see [General Options](#general_options)).

Lock or unlock the desired periods (see [Locking or Unlocking Periods](#lock_or_unlock)).

### General Options

The following options are available in period locks for postings in the top area of the detail view:

#### Name

Change the name of the period lock

#### Edit time period

Click the icon to edit the period covered by the period lock. The following dialog is displayed:

**Entire data level**: All periods of the data level for which the period lock was created are monitored.

**Individual selection**: Activates the period selector, in which you can choose the period of the data level that monitors the period lock.

#### Edit adjustment levels

Click the icon to edit the adjustment levels to which the period lock is to apply. The following dialog is displayed:

**All adjustment levels**: The period lock applies to all defined adjustment levels.

**Individual selection of adjustment levels**: activates a table in which you can choose the adjustment levels that the period lock is to monitor.

#### Activating/Deactivating a Period Lock

A period lock can be **activated** or **deactivated**.

The following options are available:

**Period lock is activated**: The period lock monitors the postings for the respective dimension configuration.

As soon as you reactivate a deactivated period lock, a dialog will appear in which you must enter a reason for the reactivation.

**Period lock is deactivated**: The period lock does not monitor the postings for the respective dimension configuration.

Deactivated period locks are indicated by a lock icon in the tree view.

#### Edit Reporting Entities and Consolidation Areas

Click **Edit Reporting Entities and Consolidation Areas** to add or remove reporting entities and/or consolidation areas. The following dialog is displayed:

**All reporting entities and consolidation areas**: The period lock applies to all reporting entities and consolidation areas.

**Individual selection**: Activates a table in which you can choose the reporting entities and consolidation areas to which the period locks are to apply.

You can also choose **folders with reporting entities and/or consolidation areas** in the table. The period lock will then apply to all reporting entities and/or consolidation areas contained in this folder.

The period lock will be dynamically adjusted if the content of the respective folder in the **Reporting entities** and/or **Groups** workspace changes.

### Locking or Unlocking Periods

- Periods are **unlocked** for postings by **activating** the check boxes.
- Periods are **locked** for postings by **deactivating** the check boxes.

The icon indicates for which elements in a period the **creation**, **changing**, or **deletion** of postings is permitted or not permitted (see section [Status display](#status))

### Period Lock for Exchange Rates

The **Exchange rates and periods** area in the detail view of a **period lock for exchange rates** defines the periods in which exchange rate tables can be changed or new ones created, and the periods in which no entries and changes are allowed.

Proceed as follows:

### General Options

The following options are available in the top area of the detail view in **Period locks for exchange rates**:

#### Name

Change the name of the period lock

#### Edit time period

Click the icon to edit the period covered by the period lock. The following dialog is displayed:

## Status Display

The icon indicates for which elements in a period the **creation**, **changing**, or **deletion** of postings is permitted or not permitted:

The following table shows the meaning of the icons:

| Icon | Description |
|---------|---------|
| | The creation, changing, and deletion of postings or exchange rates is permitted. |
| | The creation, changing, and deletion of postings or exchange rates is not permitted. |
| | The creation, changing, and deletion of postings or exchange rates is only permitted for individual elements below a root folder or for individual periods. This icon is only displayed for root folders and for the **All periods** column. |

## Displaying the Change Log

If the status, postings, or exchange rates are edited, these **changes are logged** and displayed under the period locks.

To open the change log, navigate to the desired period lock and, in the detail view, open the **Audit trail** tab. The tab is displayed as follows, for example:

To start logging changes from a specific point in time, you can set **checkpoints**. As soon as you create a checkpoint, postings and exchange rate tables that are changed are listed again in the log.

To do this, click **Add checkpoint** on the **Audit trail** tab and, when creating the checkpoint, enter a name and, if necessary, a note for the checkpoint.

The checkpoint is then displayed in the change log as follows:
