# Optional Keywords

## Overview

Optional keywords can be inserted if you need to import further information in addition to the required content. Optional keywords, just like [required keywords](https://support.lucanet.cloud/en/documentation/consolidation-financial-planning/excel-integration/cfp-add-in/transferring-data-to-lucanet/required-keywords.md), are entered in **column A**, while the corresponding parameters are generally entered in **column B**. Exceptions to this are the keywords in the row **Column definition**, whose parameters and posting data must be entered in the corresponding column.

## Optional Keywords in Column A

The following keywords can be defined in MS Excel in **column A**:

#### Description

Can contain a description of or a comment on the import.

Only one description is allowed per import (see Description and text)

#### Periodicity

Breaks down annual values (**Y**), semester values (**S**), trimester values (**T**) or quarterly values (**Q**) automatically to monthly values (Periodicity)

**Note**: If the abbreviations (**FY**) or (**FQ**) are used, the annual or quarterly values are converted on a straight-line basis into the months of the deviating fiscal year/quarter.

#### Automatic cancellation

When using **Automatic cancellation**, the posting in Lucanet is canceled automatically in the subsequent period after every month.

## Optional Keywords in the Column Definition Row

The following keywords can be defined in the row **Column definition**:

#### Text

Defines the column for posting texts (see Description and text)

#### Item

Specifies the item in Lucanet under which a new account is to be created (see Item)

#### Partner or P

Defines the column for partner information

#### Cost center or CC

Defines the column for the cost center used

**Note**: The keywords **cost center** or **CC** can only be used together with the keyword **reporting entity**.

#### Consolidation unit or CU

Defines the column for the utilized consolidation unit

## Optional Keywords with a Different Meaning

The following keywords can be defined both in **column A** and in the column **Column definition**:

| Keyword | Description |
|---------|---------|
| Factor | Defines the factor globally for a row or a column with which the values are multiplied (see Factor) |
| Transaction type or TT | Defines the transaction type for a row or a column |
| Transaction currency or TC | Defines the factor globally for a row or a column with which the values are multiplied (see section Transaction currency) |

## List of Optional Keywords

The following optional keywords are available:

### Description and text

The **LUCANET** Excel workbook can be used to enter posting-specific texts and a description that can be transferred to Lucanet.

#### Keywords and their Position

| Keyword and its position | Position of the content |
|---------|---------|
| Description, in column A | The description is in the same row in column B. |
| Text, in the **Column definition** row | The text is located in the same column after the corresponding posting. |

### Factor

The keyword **Factor** enables conversion of the values during data transfer. The values to be imported are multiplied with the specified **factor**. This makes entries in TEUR possible, for example. The keyword **Factor** can be entered at different positions in the Excel workbook. The values to which the factor is applied depend on the position in the workbook.

#### Validity Range for the Factor

The values to which a factor is applied depend on its position in the Excel workbook:

| Position | Validity range |
|---------|---------|
| Column A, before the row **Column definition** | The entered factor applies for all values of the worksheet. |
| Within the **Column definition** row | The factor applies for all values of the column. |
| Column A, after the **Column definition** row | The factor applies for all values of the row. |

### Periodicity

Entering the keyword **Periodicity** in column A and a period in a value column for the same row informs Lucanet during the import that the values for e.g. are annual or quarterly values. During the import, the value from MS Excel is automatically broken down to month level in Lucanet.

#### Periods

The following periods can be specified:

| Periodicity | Period |
|---------|---------|
| Y | Year |
| Q | Quarter |
| M | Month |
| S | Semester |
| T | Trimester |
| FY | Fiscal year |
| FQ | Fiscal quarter |
| FS | Fiscal semester |
| FT | Fiscal trimester |

### Item

You can use the **Item** keyword to create unavailable accounts in Lucanet. To do this, the keyword **Account** must be entered in the **Column definition** row in front of the keyword **Item** in MS Excel.

### Transaction currency

The keywords **Transaction currency** and **TC** enable postings to accounts in all transaction currencies defined in Lucanet. If no transaction currency is specified, the default currency of the reporting entity or the consolidation areas is used automatically.

#### Validity Range of the Transaction Currency

The values to which the transaction currency is applied depend on the position of the keyword in the Excel workbook:

| Position | Validity range |
|---------|---------|
| Column A, before the row **Column definition** | The transaction currency applies for all values in the worksheet. |
| Within the **Column definition** row | The transaction currency applies for the values in a row. |
| Column A, after the **Column definition** row | The transaction currency applies for all values in a column. |

### Consolidation unit

The keywords **consolidation unit** and **CU** enable posting in the consolidation units of a consolidation area in the **Groups** workspace. If one of these keywords is used, the postings will occur in the default consolidation unit of the consolidation area.
